  • Open Wallets and Transactions and review the current wallet balance.

  • If the balance is negative, note that messaging may stop until the wallet is replenished.

7. Update recharge amount and low-balance threshold 1:36

  • Adjust the recharge amount to reduce the number of small recurring charges.

  • Example approach:

    • Increase recharge from a smaller amount to a larger amount, such as from $10 to $50.

  • Set the low balance limit to trigger recharge before the balance reaches zero.

  • Example approach:

    • Set recharge to occur at $10 so the system tops up before messages are interrupted.

8. Confirm low-balance notifications are enabled 2:33

  • Verify that low wallet balance notifications are active.

  • Expect alerts by email and text when the wallet balance becomes low.

  • Use these alerts to prevent service interruptions and keep messaging active.

9. Review transaction-level details to identify specific charges 2:42

  • Open Transactions to see every charge in detail.

  • Select a transaction record to view:

    • Exact charge amount

    • Conversation or activity details

    • Associated contact

  • Match the transaction to the contact and timestamp in the system to determine what caused the charge.

10. Export reports for tracking and recordkeeping 3:05

  • Use the Export Center to send reports for external tracking.

  • Export billing or usage data to your email as needed.

  • Keep exported reports for internal review, reconciliation, or sharing with stakeholders.

Cautionary Notes

  • Negative wallet balances can stop text messages from sending. Replenish the wallet immediately if the balance drops below zero.

  • Recharge settings affect frequency, not total spend. Increasing the recharge amount reduces how often charges occur, but does not reduce overall usage cost.

  • Set the low-balance threshold high enough to avoid service interruptions, especially for accounts that rely on SMS delivery.

  • Investigate unusual spikes in usage promptly to confirm whether they are expected or indicate a problem.

Tips for Efficiency

  • Use a larger recharge amount to reduce the number of small card charges each month.

  • Set the low-balance threshold above zero so the system has time to recharge before messaging is interrupted.

  • Review the Activity view when you need to identify which tool or workflow is driving spend.

  • Check transaction details first when investigating a charge; then match the contact and timestamp to the related action.

  • Export reports regularly to simplify monthly reconciliation and trend analysis.
